Transforming Capacity Planning into a Global SaaS Solution

Transforming Capacity Planning into a Global SaaS Solution

The Online Resource Management System for a Smarter and More Efficient Workflow

Project Summary

Skiplanner originally started as a custom scheduling and resource management tool, created during a seven-year collaboration with a major SnowSportCenter. At first, the goal was simply to fix daily operational struggles caused by expensive, limited equipment and complicated booking needs. Because standard software wasn't good enough, the developers and the client worked together to build a smart, custom system. Over time, this project grew into a powerful SaaS (Software as a Service) platform. This amazing shift allowed the client to sell their internal tool as a brand-new product, generating extra income and spreading their business all over Europe.

About the Client

Our main client, SnowSportCenter (a ski and snow school), strongly focuses on working efficiently and keeping costs down. Even though they generate high revenues, their culture favors practical and budget-friendly operations over luxury. The center ran with a very small team of core staff. Their biggest business struggle was figuring out how to get the most out of their highly specialized, limited-capacity equipment.

Challenge

Prior to implementing SkiPlanner, the facility struggled with slow and error-prone daily operations. Their reliance on manual work and disconnected software created a few major headaches:

  • Booking Struggles: Reserving a spot was frustrating for clients and full of mistakes. This often resulted in double bookings and chaos when people arrived at the venue.

  • Wasted Space: Because they didn't have one clear system to track everything, some ski slopes were packed with people while others sat completely empty, wasting valuable capacity.

  • Mismatched Classes: Putting students with different skill levels into the same group made the instructors' jobs much harder and delayed the learning process for everyone.

  • Heavy Admin Work: Trying to organize teacher schedules, lesson reservations, client details, and payments using completely different tools took way too much time and energy.

Evolving into a SaaS Product

Solution

Rather than delivering a quick, one-off product, we built this solution through an ongoing, strategic partnership. The goal was to remove all technical headaches and collaborate on future business growth. We rolled out the system in stages, ensuring the basics worked perfectly before turning it into a powerful business asset:

  • Smart Scheduling: At its core, Skiplanner intelligently suggests the best days for specific students to attend. It constantly monitors real-time changes and limits to maximize the use of both equipment and instructors.

  • Clear Visual Calendars: The first step brought order to the daily chaos. We designed a highly organized, color-coded calendar that clearly displayed lesson plans, staff shifts, and machine usage at a glance.

  • Automated Staff Rosters: The software goes beyond basic booking. It automatically drafts suggested shift schedules for freelance instructors, saving management hours of coordination.

  • Self-Service Client Portal: We created a dedicated online space where customers can sign up and book lessons themselves, drastically cutting down on phone calls and emails. Over time, this portal was upgraded to handle automatic online payments and sell bundled lesson packages.

  • Preventing No-Shows: To avoid the disruption of last-minute cancellations, the platform sends automated reminders a week and a day before a session. This prompts users to confirm or change their plans early, giving the system time to instantly reorganize the schedule and machine setups.

  • Evolving into a SaaS Product: Realizing how powerful their custom tool had become, the client decided to package it for others. We transformed the software into a cloud-based SaaS platform, complete with a master dashboard designed to manage multiple independent ski schools simultaneously.

Outcome

The launch and continuous improvement of Skiplanner delivered outstanding results, completely changing how the business operated and introducing a brand-new business model:

  • A True IT Partnership: What started as a standard project grew into a seven-year collaboration. We moved beyond simply being a software vendor to become long-term strategic advisors and technical experts for the client.

  • Massive Time Savings: The smart software drastically cut down manual admin work. It easily automated the highly complex task of organizing limited equipment and instructor schedules for tens of thousands of users.

  • Fresh Income Source: The client's internal tool worked so well that it was packaged into a commercial SaaS product. This created an entirely new revenue stream, offering various subscription levels to other snow sport centers.

  • Going International: Originally built for a single location in the Netherlands, the platform quickly expanded its reach, bringing on users and partner schools from across Europe and even Kuwait.

  • Advanced Payment Features: The system is built for global business. It automatically bills partner schools for their software licenses and allows each facility to set up its own payment gateways, ensuring that their customers' payments go directly into their own bank accounts.

The story of Skiplanner proves how a close, client-focused collaboration can turn massive daily scheduling headaches into a smooth, automated workflow. It transformed from a basic operational necessity into a highly profitable, scalable software product. Today, it acts less like a standard tool and more like an intelligent digital traffic controller—ensuring that every single machine, student, and teacher is matched up and utilized perfectly.
